Facebook Administrative Assistant in Paris, France

Summary:

Facebook is seeking an experienced Administrative Assistant to support two Directors based in Paris: the Group Director and Director of Creative Shop, Southern Europe. We're looking for this person to be a key member of our team, and should be a smart, efficient self-starter with an ability to operate effectively in a fast paced, ever changing international environment. The ideal candidate will have experience working within an international company, supporting C-Level management. This is a full time position based in Paris.

Required Skills:

  1. Diary management: Extensive diary management, including organizing internal and external meetings across multiple time zones & locations

  2. Project management: can manage projects from beginning to end, including but not limited to industry events, internal team off-sites

  3. Coordinating complex itineraries and travel

  4. Drafting and formatting responses to memos, letters and documents

  5. Liaison with the internal Creative Shop team over deadlines and projects

  6. Financial administration, e.g. processing POs & invoices

  7. Ensure email lists, org charts and other administrative systems are maintained and current

  8. Coordinate and prepare various press and speaking engagements

  9. Plan and execute communications with external clients, internal teams, and cross-functional partners.

Minimum Qualifications:

  1. 5+ years' experience supporting C level or VP at a global organization. Media, Creative, Consultancy background optimal

  2. Fluent English and French essential

  3. Excellent written and oral communication skills

  4. Word processing skills and knowledge of software packages, are essential

  5. Previous experience working with presentation decks - Keynote and PowerPoint

  6. Extremely high attention to detail and accuracy with a proven ability to work in an extremely fast paced environment

  7. Ability to make decisions quickly and sort through complex, competing priorities

  8. Ability to keep calm in face of fast change or high demands

  9. Proven ability to compile clear and concise briefing materials

  10. Experience interacting with senior level executives and all levels of the organization

  11. An understanding of confidentiality issues and the use of discretion is essential

  12. Passionate about Facebook

  13. BA or BS degree or equivalent highly regarded

  14. Some travel may be required.
