Facebook is seeking an experienced Administrative Assistant to support the Director of Outreach and Legal Outreach Team. The ideal candidate will have exceptional communication skills and will have the ability to partner close with legal and other cross functional teams. This person should be process focused, highly organised, energetic, detail-oriented, a problem-solver and exhibit sound judgment. This position is full-time and located in London.

Required Skills:

  1. Provide day-to-day support to team members including: complex and dynamic calendar management for internal and external meetings, managing heavy European and International travel arrangements, management of billing for professional services

  2. and timely completion of expense reports

  3. Manage team meeting schedule, structure, agenda, minutes and follow-up

  4. Project manage all logistics for team off-sites

  5. Assist in the preparation of presentations and speaking engagements

  6. Build cross-functional relationships with key partners in other departments

  7. Assist in the preparation of correspondence, briefs, presentations, and packets for internal and external meetings

  8. Ensure that contract execution by executives are managed efficiently and effectively

  9. Organize space planning and large offsite events

Minimum Qualifications:

  1. 4 or more years of experience providing administrative support to 1 or more executives

  2. Experience coordinating travel logistics on behalf of 1 or more executives (both Europe-wide and international)

  3. Experience in calendar management, billing / invoicing and expense report management for 1 or more executives

  4. Able to think, plan and execute quickly and resourcefully, both autonomously and as part of a broader team and thrive in a fast-paced atmosphere

  5. Very strong PowerPoint skills must

  6. Proficient in Microsoft Office Suite, with strong Excel skills

  7. Exceptional oral and written communication skills

  8. Passionate about Facebook

  9. Experience planning events

  10. Able to efficiently manage and prioritize multiple projects simultaneously

  11. Able to operate with a high level of confidentiality

  12. Comfortable with giving and receiving feedback

  13. Strong team player and relationship builder with peers.
