Facebook Administrative Assistant, Sales Planning & Operations in Singapore

The Administrative Assistant for the Sales Planning & Operations team will be a masterful problem-solver, have exceptional communication and organizational skills, and be resourceful in building relationships across the larger Facebook ecosystem. The ideal candidate will manage calendars, prep for executive presentations and meetings, and execute and plan internal communications. The Administrative Assistant reports to the APAC Head of Business Integrity. This position is located in our Singapore office.

Required Skills:

  1. Support multiple Directors in calendar management, travel logistics and expense claims

  2. Serve as a representative in planning, strategy and cross-functional meetings and events

  3. Assist in the accomplishment of Company and departmental annual objectives

  4. Review, update and manage schedule for assigned executives

  5. Ensure the timely preparation and delivery of all briefing of information for all meetings

  6. Build cross-functional relationships between departments

  7. Organize team off-sites and office events

  8. Schedule team meetings, set up venues, and take minutes

  9. General office duties and ad hoc projects as required

  10. Exhibit highest degree of professionalism, courtesy and diplomacy

  11. Exercise absolute discretion at all times

Minimum Qualifications:

  1. Considerable experience as an Executive Assistant to a C-level or Director level individual

  2. Ability to interact with Senior Level Executives in a professional manner

  3. Warm, outgoing personality to cultivate team culture

  4. Strong scheduling and calendar prioritization skills

  5. Excellent computer skills, including Microsoft Office (especially Outlook)

  6. Ability to build presentations in PowerPoint or Keynote and compile clear and concise briefing materials

  7. A persuasive and credible communicator who can earn the trust of colleagues and senior management and work effectively with people at all levels both inside and outside of Facebook

  8. Ability to shift priorities quickly and act proactively, while maintaining operational efficiency

  9. Strong project management, decision-making, and problem-solving skills

  10. Proven track record handling highly confidential information

  11. Excellent verbal and written communication skills.
