Summary:

Facebook is seeking an experienced, confident and capable Facilities Lead to add immediate value to the facilities services of this exciting fast paced company. This role will take responsibility and ownership for the day-to-day management and delivery of all facilities services in Korea, coordinating with multiple vendors and resources in order to deliver seamless and optimal services, and ensure that Facebook has the most suitable working environment for its employees and their activities. This full-time position is based in Seoul and will be reporting to the Facility Manager based in Japan.

Required Skills:

  1. Establish effective communication with employees and vendors to ensure high level employee satisfaction and best service delivery

  2. Manage office facilities, its operations staff, vendors and service contractors to deliver the expected service levels within budget

  3. Manage and supervise soft services, manage hard services activities, churn works and move management.

  4. Soft services include but not limited to janitorial & housekeeping services, stationery & business cards, snacks & beverages & vending machines in micro kitchens, upkeep of medicine box, Horticulture & florist, pest control services, front office, meeting rooms & courier services, overseeing concierge services and events management

  5. Maintains proper inventory and tracks stock and consumption of all consumables and supplies pertaining to the services

  6. Assist the Facility Manager in space management of the office, staff headcount updates and allocation of space/seats for users

  7. Request Purchase Orders and Invoices. Check all invoices within the facilities management delivery and ensure timely payments processing

  8. Gain a full understanding of the agreed budgets for Korea and provide narratives to explain any differences between budget and actual spend

  9. Reviews all check lists/log sheets/ reports on a regular basis to ensure smooth operations

  10. Work Order System trouble ticket response and coordination of resolutions

  11. Provide quality control for completed Work Orders

  12. Assist with RFP processes including vendor selection, contracting and on-boarding

  13. Ensure that the office is compliant with and statutory and other health and safety legislation

  14. Work with the business on appointing adequate Fire Marshalls and First Aiders

  15. Undertake special projects as required and support / champion regional initiatives

  16. Understand the role and responsibilities of other core business functions within Facebook, e.g. Security, Catering, Finance, IT, etc. Provide co-operation and assistance as required to support the delivery of their services

Minimum Qualifications:

  1. 5+ years’ experience of working within a Facilities Management team with a demonstrated responsibility for all FM services including soft services, hard services and vendor management Strong customer care ethos is a perquisite for this role

  2. Proven track record of being able to build quickly and maintain strong relationships with key stakeholders including EA’s

  3. An understanding of commercial contracts and experience in managing agreed Service Levels within budget

  4. Excellent people skills with the ability to communicate professionally at all levels within the business

  5. Communicate effectively in English and Korean both verbally and written

  6. Ability to manage a very busy workload efficiently and to prioritise key tasks. An excellent level of computer literacy

  7. A positive “can do”attitude and a willingness to become totally involved with the business

  8. Good financial experience, planning, managing and controlling costs

  9. Experience of working within a high pressure dynamic environment

  10. Highly organized
