Summary:

At Facebook London we are seeking for an experienced Administrative Assistant to join our growing Ads Engineering team. You will be at the heart of your team’s business operations and activities and the soul that keeps your team moving forward. You will be able to manage a heavy workload efficiently while anticipating the needs of managers and team members and help them stay focused on their projects by resolving operational and administrative issues before they arise. A large part of this role will be project managing various projects for your Director/ Manager. Being able to cope in an incredibly fast paced environment with a variety of personalities is essential as is being able to adapt to Facebook's working culture with its many different methods of internal communication. You will be efficient, flexible, self-motivated, passionate about Facebook's mission, and willing to get stuck in and embrace the social aspect of the role.

Required Skills:

  1. Provide a high level of administrative and operational support to two senior leads and the wider community health of the Ads Engineering

  2. Perform administrative tasks in a timely manner demonstrating attention to detail in relation to calendar management, travel and expenses

  3. Organise and manage team off-sites, events, and activities for the Director's team, the leadership team and org

  4. Ensure and maintain a good level of communication across the team and leadership group, track changes, and manage agendas for multiple team meetings

  5. Project manage different events for the leadership team

  6. Manage the internal tools and various groups

  7. Build strong relationships with different stakeholders (Facilities, Events, Space Planning, Security, etc ) and become a POC for team inquiries

  8. Collaborate with other admins and be available to help plan team events as needed

  9. Managing and welcoming visitors from global offices and providing an ad-hoc support, if required

Minimum Qualifications:

  1. At least 5+ years of full-time, recent administrative experience directly supporting 1 or more Director level

  2. Experience of supporting the leadership team within a fast-paced, high-tech international team environment

  3. Strong calendar management, travel scheduling, budgeting, project-management while supporting the growth of Engineering team

  4. Effective organisational skills, with a demonstrated attention to detail and the ability to handle multiple priorities in a fast paced environment

  5. Team player with strong interpersonal and communications skills

  6. Creative with the ability to generate new ideas and inspire other team members Experience with scaling space management and planning to accommodate regular growth amongst teams

  7. Must be flexible and able to quickly react to last minute changes

  8. Ability to hit the ground running and take charge of the position

  9. BA/BS degree or equivalent.
